IT outsourcing or an in-house IT specialist: which pays off
Computers, network, printers, email, backups — someone has to look after them. We compare an in-house specialist with IT outsourcing and explain how to choose a contractor.
Every company with an office sooner or later has a broken printer, a lost internet connection or a missing important file. The question is who will deal with it.
What IT support includes
- setting up and repairing computers, printers, the network and Wi-Fi;
- email, user accounts and staff access;
- backups and data recovery;
- antivirus and updates;
- servers, CCTV, telephony;
- helping staff — “the file won't open”, “it won't print”.
An in-house specialist
Pros: always on site, knows the company, reacts quickly.
Cons: one person can't know everything; holidays, illness or resignation leave the company without support; knowledge often lives only in their head.
Suits companies with many staff and devices and enough tasks for a full day.
Outsourcing
Pros: a team with different specialists, no need to cover holidays, work under a contract with clear response times.
Cons: the specialist isn't in the office all the time; you must clearly describe what the service includes.
Suits small and medium businesses where IT tasks are few but important.
A mixed option
An employee handles everyday tasks while an outsourcer takes the complex ones: servers, security, projects.
What to put in the contract
- what is covered — computers, servers, network, software;
- response time — for example, urgent problems within a few hours;
- how to submit requests — Telegram, email, phone;
- what is included and what is paid extra;
- documentation — network diagram, passwords and access stay with the company;
- a report on work done.
Important either way
All passwords, access and infrastructure descriptions must be kept by the company. Then changing a specialist or contractor goes smoothly. Simple protection measures — in “Cybersecurity for small business”.
